This section explains how we handle your personal data when you sign up for the Alicante Arrival Mini-Planner on alicanteabout.com.
Who is responsible
AlicanteAbout is run by Cluster Solar Ltd, 5 Brayford Square, London E1 0SG, United Kingdom. Cluster Solar Ltd is the data controller for our email list. Contact: admin@alicanteabout.com.
What we collect
- Your email address.
- The language of the form you used (English, Polish or French).
- Whether you ticked the box to receive occasional Alicante tips, updates and travel ideas.
- When you signed up, and your approximate location (town and country), which our email provider works out from your IP address.
- Whether you open our emails and which links you click (see “Email tracking” below).
What we use it for
- To send you the mini-planner you asked for, as soon as you sign up.
- Only if you ticked the box: to send you occasional Alicante tips, useful updates and travel ideas. These emails can arrive at any time, until you unsubscribe.
- To understand which emails and links are useful, so we can improve them.
We do not sell or rent your email address, and we do not share it with advertisers, transport companies or any other business.
Legal basis
Your consent (Article 6(1)(a) of the UK GDPR and of the EU GDPR). Submitting the form is your request for the mini-planner. Ticking the box is a separate consent to occasional emails, and the box is never ticked in advance. You can withdraw your consent at any time with the “Unsubscribe” link at the bottom of every email, or by writing to admin@alicanteabout.com. Withdrawing does not affect emails already sent.
Our email provider
We use Sender.net (UAB Sender.lt, Vilnius, Lithuania) to show the sign-up form, keep the list and send the emails. Sender.net processes your data on our behalf and only on our instructions. The form loads from Sender.net’s servers when you scroll close to it, so Sender.net receives your IP address and browser details at that moment, even if you do not sign up. Sender.net is based in the European Union, which the UK recognises as giving personal data adequate protection.
Email tracking
Our emails contain a small invisible image, and their links pass through newsletter.alicanteabout.com, a web address operated by Sender.net. These tell us whether an email was opened and which links were clicked. You can stop the open tracking by blocking images in your email app.
Links to our website also carry campaign tags (utm_source, utm_medium and utm_campaign). If you have accepted analytics cookies, Google Analytics uses them to count the visits that come from our emails. Sender.net adds its own tracking parameters to the links as well; our website removes them from the address bar as soon as the page opens.
On our website
If you have accepted analytics cookies, Google Analytics also records when the sign-up form comes into view, without your email address, so we can check where the form works best.
How long we keep it
We keep your email address and sign-up details until you unsubscribe or ask us to delete them. If you unsubscribe, we keep your address marked as unsubscribed, only so that we do not email you again. If you ask us to delete your data, we delete it completely.
Your rights
You can ask us for a copy of your data, or ask us to correct or delete it, to restrict or object to its use, or to send it to you in a portable format. Write to admin@alicanteabout.com. You can also complain to the UK Information Commissioner’s Office (ICO) or, if you live in the EU, to your country’s data protection authority (for example UODO in Poland or the CNIL in France).

Chat logs and minimisation

- Latency, language fields, and interaction linkage

Third-party processors
To run the chatbot, we use third-party providers, including:
- OpenAI (to generate and embed responses)
- Open-Meteo (for weather data when weather tool responses are used)
These providers may process data sent by our servers to return results.

International transfers

Retention
We keep chatbot-related records only for as long as necessary for service operation, security, and quality improvement, and then delete or anonymise them according to our retention policy.
